Abstract
The objective of this project was to analyze the undergraduate admissions process at the University of Mississippi before and after the implementation of SAP’s student information system known as Campus Management. Areas of focus include the following: l Whether any improvements were achieved in terms of efficiency such as time to process a typical admissions application l Whether any improvements were achieved in terms of customer service l The usability of the web application l Impact on related processes such as account generation l Positive and negative impact to university offices l Potential areas for future work These areas and other issues will be addressed in this paper. Before any analysis could begin, my first task was to gather information about the system prior to Campus Management In August 2003,1 began conducting interviews with the people who work in the admissions office. Cathey Morrisson, the former Assistant Director of Admissions, Kristen Kreskey, an Admissions Specialist, and Cammie Champion, the Coordinator of Undergraduate Admissions, provided information about the old undergiaduate admissions system. Suzanne Thigpen, the current Assistant Director of Admissions, along with Kristen Kreskey and Cammie Champion discussed the admissions process using the new system. I also gathered information about the hardware and design of the old and new systems from Jill Stribling, Systems Analyst II, v Kathryn Gates, Director of Academic Computing and Support Services in the Office of Information Technology, and Linda Bailey, Systems Analyst I. After completing my research, 1 found that the processing time for an application had decreased by approximately 1 week. It is important to note that the processing times included in later chapters are for applications that are received that contain all necessary documents and fees. The processing time will differ if any supporting information is not present. Customer service has improved due to the admissions office ability to check the student’s application status. More information can be checked by the student via the new Campus Management student interface. The student can check his or her financial aid status and download financial aid award letters. The web application has been enhanced to allow users to utilize many drop-down boxes. These dropdown boxes are there to make sure the users enter valid information into the application. However, with more dropdown boxes, the web application is slower. Many of the dropdown boxes are populated with choices based on the user’s input in a previous field. This is why the application is slower and takes longer to complete. Automatic generation of Ole Miss e-mail accounts the CM Access code has been implemented into the new system. Other offices, such as the Financial Aid office. Admissions office, and other departments on campus, have been affected by Campus Management, both positively and negatively. All results will be discussed in more detail in the conclusion.
